A backup is a copy of the data files held in your accounting software. Why should I back up my data? It is important to back up your data regularly so that you always have a recent copy of your accounts data. Backing up helps to prevent data loss in the event of computer or network failure and data corruption. It also allows you to send a copy of your data files to your accountant or to Passage Software should this be necessary, for example if your accountant wants to view your accounts at year end. When should I backup my data? You should backup your data whenever you have entered new data into your software. How do I back up my data? Open Sage 50 Accounts and login to the company you would like to back up Select 'File' from the top-menu Select 'Backup...' from the drop-down menu If prompted to Check Data you can select 'Yes' or 'No' (More information of Check Data will be added in the near future) The 'Backup' window should appear Add a 'Filename' - Sage 50 Accounts 2010 and upwards will name this according to the Company Name, Date and Time automatically Select 'Browse...' and locate a safe location to save your backup You may choose to change some Advanced Options under the 'Advanced Options' tab Under the Advanced Options tab you can select specific files needed to be backed up, else select all. You may wish to change this so that 'Data Files' is the only option selected, this will increase the speed of backups greatly and provide a smaller backup size - NOTE Selecting Data Files only will not backup customised reports, Company Archives, Image Files etc Select 'OK' to start the backup TIP: Do a complete backup every month, followed by 'Data Files' only backups each day NOTE: If you are using a multicompany version of Sage 50 Accounts, you must backup your data for every company individually. And if you are a multiuser site you will require everyone to be logged out of the Sage 50 Accounts company before being able to back up or restore When would I restore my data? You would restore you data should you come across any errors after running your Check Data Data has been entered incorrectly and it will be more time efficient to restore a backup The Year End did not complete successfully or as desired How do I restore my data? Open Sage 50 Accounts and login to the company you would like to restore the back up for Select 'File' from the top-menu Select 'Restore...' from the drop-down menu You may get a prompt to close all other windows, select 'Yes' The 'Restore' window will appear Select 'Browse...' Locate the Sage 50 Accounts back up Then select 'OK' and the restore will take place TIP: You may wish to use the 'Previous Backup' tab, here will be a list a backups taken for this company, you can simply highlight the backup you would like to restore and select 'OK'
